Terms and conditions

These Terms and Conditions explain how Esselle organises and delivers sports tours, tournaments and related travel services for schools, clubs and group organisers. They are designed to provide clarity, reassurance and transparency around how bookings are managed, what you can expect from us, and what we ask of you in return.

 

Esselle works closely with group leaders and trusted partners to ensure tours are well planned, responsibly managed and delivered with the care and attention required when travelling with young people. By confirming a booking with Esselle, you agree to these Terms and Conditions, which are in place to support a smooth, safe and enjoyable experience for everyone involved.

 

Terms and conditions of booking
  1. Responsibility and Liability
    Esselle acts solely as an organiser when arranging transportation, accommodation, show bookings, or other services. We are not principals and cannot be held liable for any injury, damage, loss, delay, or irregularity caused by errors or defaults of any company or service engaged in transporting passengers or carrying out tour arrangements. However, Esselle is responsible for coordinating the tour administration and will accept responsibility for any service solely provided by our staff.
     

  2. Third-Party Services Esselle does not own or control any airline, shipping line, hotel, or other major services used in connection with the tour arrangements. We cannot be held responsible for any action, inaction, default, or error by their employees. All itineraries and service descriptions are accurate at the time of booking.
     

  3. Service Allocations
    Esselle contracts with service companies to provide allocations of air seats, coach seats, ship cabins, hotel bedrooms, etc. While we endeavour to meet specific requirements on your booking form whenever possible, these allocations cannot be guaranteed.
     

  4. Standard Conditions of Carriage
    Any flights or sea journeys forming part of the travel arrangements are subject to the Standard Conditions of Carriage of the air or shipping lines used. These conditions will limit the liability to the passenger in most cases.
     

  5. Deposits and Final Payments
    All booking forms must be accompanied by the appropriate deposit. Once the booking is accepted, the deposit is non-refundable (except as outlined in paragraph 6). The deposit forms part of your final payment, which is due by the date shown on the Confirmation-Invoice. Esselle reserves the right to cancel any booking for which the final payment is overdue, in which case the deposit is non-refundable.
     

  6. Tour Cancellation by Esselle
    Esselle reserves the right to cancel any tour that has not achieved an economic sales level. This decision will be made no less than 8 weeks prior to departure. In the rare event of a tour cancellation, Esselle will offer a suitable alternative or a full refund of monies paid.
     

  7. Cancellation by Passenger

    In the event of cancellation by the passenger, the deposit will be forfeited. Additionally, if cancellation occurs within 8 weeks of the departure date, the following Cancellation Charges will apply:






     

  8. Surcharges on Overseas Holidays

    The price of your holiday may be subject to surcharges for items such as governmental action, currency fluctuations, coach and aircraft fuel, overflying charges, airport charges, and increases in airfares. Esselle will absorb an amount equivalent to 2% of the holiday price (excluding insurance premiums). If surcharges exceed 10%, you are entitled to cancel your holiday and receive a full refund of monies paid (excluding insurance and amendment charges). You must exercise this right within 14 days from the invoice issue date.
     

  9. Service Issues
    Esselle is committed to providing a successful, trouble-free tour. If you are dissatisfied with our service, you must advise Esselle as soon as possible to give us the opportunity to correct the issue.
     

  10. Passenger Responsibilities
    Esselle cannot be held responsible for ensuring passengers have a valid passport, the required visas, or that they conform to the health requirements of the countries being visited.
     

  11. Sporting Event Cancellations
    In the unlikely event of cancellation of a sporting event for any reason, Esselle cannot be held responsible for any monetary loss, inconvenience, or other circumstances.
     

  12. Other Tour Operator Programmes
    If tours are operated using other tour operator programmes, their booking conditions will supersede our Clause 11.
     

  • 56 days or more: first 5 places- no charge, then 50/50 split of loss of deposit between Esselle Sports and Premier International Tours

  • 43 – 55 days: 50% of holiday cost

  • 30 – 42 days: 60% of holiday cost

  • 22 – 29 days: 75% of holiday cost

  • 21 days or less: 100% of holiday cost
